Overbill
Freight and parcel invoice audit

Your carriers are overcharging you.
We find it and get it back.

Duplicate charges, rates above your contract, surcharges that should not be there. Every line checked, with the evidence.

See how it works

Do it yourself, first month free. Or book a call and we do it for you: we file the claims and take 30% of what comes back, nothing if we find nothing.

In short

One invoice,
from arrival to the credit.

What happens to a carrier invoice at Overbill: it arrives, every line is read and checked, each overcharge is shown with its evidence, the claim is filed, and the credit is tracked back.

How it works

What happens to one invoice.

Seven steps, each a screen of the app as a customer sees it, from the carrier’s email to the credit and the decision to pay.

The screens and figures below are illustrative, not a customer’s data.

    It arrives by email

Forward the carrier’s email to your company’s own invoice address, once, or set a rule. When it carries only a link, as UPS’s does, Overbill asks you to download the file and send it. The file is listed the moment it lands: a data file or a PDF is read on arrival once our team has checked a first file of its layout, and a scan is keyed in by us.

Three findings, three stories

Small differences.
Clear reasons.

A finding is a line, the price it should have carried, and where that price came from. These three are the ones that turn up most.

Rate above your agreed rate

A small difference. A clear reason.

The base charge is $1.25 above the agreed rate for this service and weight band.

Supporting evidenceYour rate card · UPS Ground, row 12

Ground · Zone 2 · 1–5 lb: $9.40 per parcel, agreed from 1 March.

1Z 4471 · 4 lb · Ground$10.65 − $9.40 = $1.25
Charged twice

One shipment. Charged twice.

Two identical base charges appear for the same parcel. Your shipment record shows one parcel, and no credit nets the second.

Supporting evidenceInvoice · lines 78 and 96

Same tracking number, service, date and $9.40 base charge on both lines.

7712 4502 · 1 parcel · Ground$18.80 − $9.40 = $9.40
Fuel above the published percentage

The right rate, for the right week.

Fuel was charged at 15% of a $9.40 base charge. The carrier’s published table for the ship week, in this example, says 10%. Fuel is checked where we hold the carrier’s weekly table: today UPS in the US, Old Dominion and XPO.

Supporting evidenceUPS fuel table · ship week

Applicable fuel rate: 10% × $9.40 base charge = $0.94.

1Z 4518 · $9.40 base charge$1.41 − $0.94 = $0.47
What it catches

The errors carriers make every week.

Duplicate charges

The same parcel or shipment billed twice, on one invoice or across two.

Rates above your contract

A price higher than the rate you agreed for that service, zone and weight.

Fuel surcharge errors

A fuel percentage above the carrier’s published rate for that week, where we hold its weekly table: today UPS in the US, Old Dominion and XPO.

Unused services

Labels voided or never shipped, still billed as parcels.

Wrong weights or dimensions

A billed weight or size above what you actually shipped.

Late-delivery refunds

US parcel: a guaranteed service delivered late, and the refund the carrier owes you.

Your forwarder’s air, sea and road bills are checked too: freight by lane, fees, fuel and bunker, and origin charges.

A few fair questions.

[email protected]
What access do you need?

Your carrier invoices and your rate agreement. That is all. No login to your carrier accounts and no access to your systems: you upload the files or forward the invoice emails.

Is my data safe?

Your files are stored in the EU, encrypted, and seen only by you and the people you invite. They are never shared with a carrier or anyone else. The details are in our privacy policy.

What if you find nothing?

If you do it yourself, the first month is free, so you have lost nothing, and you can cancel anytime. If we do it for you, you pay nothing: our fee is 30% of what your carriers actually credit back.

Who is behind Overbill?

Overbill Ltd, an independent UK company. We sell no shipping labels and take no commission from any carrier, so we are only ever on your side of the invoice. When we do it for you, you deal with the founder directly.

Which carriers?

Parcel: UPS, DPD and Royal Mail in the UK, and UPS and FedEx in the US. Freight: forwarders’ air, sea and road bills (forwarder bills, checked), and Old Dominion and XPO less-than-truckload bills in the US. Another carrier’s invoices, in CSV, Excel or PDF: the first file is checked by our team, and every file after it is read the same way.
